Excel Live - Transform Microsoft Teams meetings with real-time collaboration, however, Excel Live will be available in public preview at the end of August.

Real-time communication among remote workers is crucial in this hybrid work environment since it might make the difference between finishing the task at hand today and scheduling another meeting. To that goal, Microsoft released PowerPoint Live in 2021, which enhanced the presentation experience in Microsoft Teams to make it more engaging and beneficial for all parties. Microsoft unveiled Excel Live Share (in Public preview) at Microsoft Build 2022 this year, allowing users to co-watch, co-edit, and co-create in Teams while using third-party apps that go beyond passive screen sharing.

Spreadsheet sharing has always been a very one-sided process within Teams meetings. Everyone observes as you make adjustments to a shared file when you make them. But what if your team used that meeting time to collaborate on the project? Excel Live, our improved collaboration solution for working on Microsoft Excel workbooks, allows your group to interact in real-time during your Teams meeting by drawing on what we've learned and the changing demands of today's workplace.

How Excel Live Works

  • Click the Share tray in Teams. Scroll down to Excel Live, where you’ll see a list of your recent Excel workbooks.
  • Select the workbook you want to share. You’ll be asked to share access to the file with meeting participants. Choose Share.
  • After sharing access, everyone in the meeting can now edit the Excel file directly from the meeting screen in Teams.

Excel live delivers a new way to collaborate in real-time during teams meetings when you select an excel file from the share tray it doesn't just share the screen for others to see it allows attendees to collaborate with the excel file right from the meeting itself the view will follow the presenter but you can also interact explore and simply sync back to the presenter view to rejoin the discussion the best part is that you can easily edit the excel file right from the meeting window without anyone having to leave the meeting screen or open the file separately and just like with PowerPoint live you can also initiate the same experience directly from excel by clicking share followed by the work together in teams option.

You may wish to see the data in your own manner while working collaboratively, therefore Excel Live offers Sheet Views, which allow everyone to co-editing the worksheet to build customized views to sort or filter information in any way desired (without interfering with anybody else's view). The workbook loads at the optimal zoom level for each participant, with the option to alter magnification based on their preferences. You'll be able to designate permissions or, for further security, utilize Show Changes to double-check the adjustments made during a conversation.

Other advantages of Excel Live cited by Microsoft include:

  • Simplifies collaboration by eliminating the need to switch between programs
  • Saves time spent after meetings trying to capture/consolidate content
  • Promotes inclusiveness and encourages contribution among team members
  • Drives productivity
